Main Purpose of Job

Manage and supervise the daily operation of the State Records Center in providing cost effective and efficient service for 170,000 cubic feet of official State Records and assist the Director of Records Management in planning, organizing and furthering the reimbursable Records Management Program for the Department of General Services.

POSITION DUTIES

Duties for this position include, but are not limited to:

  • Establish and maintain an up-to-date database and formulate all related reports requested by the Director of Records Management
  • Assist the Director of Records Management by reviewing and processing new and revised retention and disposal schedules mandated by the State Government Article 10-633 and COMAR 14.18.02.
  • Monitor productivity of employees working in the State records center and conduct training as needed in the storage, retrieval, re-filling, interfiling and disposal of records.
  • Devise and execute an effective and efficient system to manage State department/agency records from time of transfer to the State records center through time of final disposition in accordance with mandated records retention schedules.
  • Supervise the operations of the Records Management Program in the absence of the Director of Records Management.
  • Advise department/agency officials regarding procedures and policies to prepare, transfer and retrieve records.

MINIMUM QUALIFICATIONS

Education : Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience : Two years of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for one year of the required experience.

2. Candidates may substitute the possession of a Bachelor's degree from a college or university for the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants who possess the following preferred qualification(s) . Include clear and specific information on your application regarding all qualifications.

  • Two or more years of experience working in the field of government archives and/or records management.
  • Experience with Google applications and Microsoft Office, specifically using Access and Excel.
  • Experience working in the field of information technology.
· Excellent interpersonal and oral/written communication skills, with experience interacting and communicating with executives and senior management.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.

SPECIAL REQUIREMENTS

Work involves intermittent physical demands such as lifting 50 pounds or more, climbing ladders, etc.
