Position Summary: With the goal to provide patients and clients with professional counseling services to help them cope with their grief issues, the Grief Counseling Administrative Assistant supports the overall access to the Counseling Center Services. This position offers operational and administrative support to the Hosparus Health Grief Counseling Center. Position Duties & Responsibilities:
  • Schedules counseling sessions, group sessions, and services for those who call for grief services, inclusive of all grief counseling locations.
  • Oversees timely, accurate, and complete transfer of all needed information from active patient care to bereavement to ensure delivery of bereavement services to Hosparus Health families.
  • Provides reception services at Harshaw Family Grief Counseling Center. Professionally answered phones, serving as first contact, providing overview of services, and assisting in scheduling.
  • Presents welcoming presence to those coming into the center.
  • Assists families in completing needed paperwork/consents and collect payments when appropriate.
  • Updates EMR system to reflect scheduling and coordination of client care.
  • Coordinates with counselors to provide needed services, either immediately or by appointment.
  • Requests, coordinates, and assigns duties to the clerical volunteers assigned to the Grief Counseling Center.
  • Collects all fees for services; ensures accurate and timely transfer of fees to the Finance Department.
  • Supports, facilitates, and oversees printing and mailing of monthly bereavement letters.
  • Works within Excel spreadsheets for schedule programming, including support groups and workshops, tracking attendance and registration in collaboration with the Office and Program Manager.
Position Qualifications:
  • High School diploma with some college preferred.
  • Minimum of 2 years of administrative support experience, preferably in a healthcare or clinic setting.
  • Must possess strong written and verbal communication skills with the ability to professionally communicate with a wide variety of audiences, including bereaved families, internal departments, and external partners.
  • Demonstrated ability to maintain a flexible yet highly organized working style.
  • Moderate to strong proficiency using Microsoft Office applications, electronic records, and/or scheduling software.
  • Ability to work varying hours, including some early evening hours.
