Job Description

R.E. Coogan Heating Inc. is looking for a bookkeeper/administrative assistant to join our wonderful team in our Warwick office. This person will be responsible, alongside the office manager, for the financial and daily operations of the office. 
The ideal candidate comes with experience in account management with Quickbooks knowledge.
The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

Responsibilities:

• Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
• Coordinate scheduling - Schedule service call appointments using an industry-based platform.
• Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
• Liaise with visitors - Act as point person for office guests.
• Communicate policies and procedures - Alert employees of new processes, rules and regulations. Assist management in improving and implementing new policies.
• Facilitate executive-level operations - Submit expense reports and send communications for high-level staff as needed.
• Manage financial aspects of the business - Accounts payables/receivables, scheduling payments to vendors, n ew transactions, journal entries, posting, trial balances, worksheets, journal entry adjustments, reconciling accounts, working with CPA at end of year.

Requirements:

• High school diploma
• 1-2 years experience as an administrative assistant, secretary or receptionist.
• Minimum 2 years experience with Quickbooks desktop.
• Job costing skills.
• Strong organizational, communication, and time-m anagement skills
• Proven ability to work in a fast-paced environment 
• Positive, high-energy attitude
• Resourcefulness, creativity, and problem-solving skill set
• Ability to work as a team in a small office atmosphere.
• Familiarity with office equipment (i.e. printers, fax machines, projectors)
• Proficiency in Microsoft Office (especially MS Excel and PowerPoint)
