POSITION OVERVIEW

We are adding a Processing Coordinator to our AP Subcontracts Administration Team. This team is part of a larger organization, comprised of a total of 45 people, which supports all of our Kiewit contracts across North America, ensuring our subcontractor documentation for performing work, is current and compliant with our contract terms in order to execute payment. As the AP Subcontracts Processing Coordinator, you will be responsible for the day-to day work flow and work assignments. Scope of work for this position includes data entry, reviewing/creating pay-forms, review/verification of important documentation like certificates of insurance, bonds, waivers, in order to process the payment of invoices for executed work. LOCATION

This position is currently based out of our Kiewit Business Center at 12720 I Street in Omaha Nebraska, but will be moving to our new location at 7700 Eastport Parkway, La Vista Nebraska in early 2024. This is a shared service center in a professional office setting.

RESPONSIBILITIES

  • Research quality/compliance issues as they arise and make recommendations for improvement to mitigate future issues.
  • Follow established processes and procedures to communicate exceptions; collaborate with internal and external customers to resolve issues in a timely manner.
  • Manage and address cases related to Subcontracts utilizing the Service Now system.
  • Provide excellent customer service to internal and external customers; understand Kiewit's core business and promote a sense of urgency toward business critical issues.
  • Assist team with responding to internal and external customer questions and concerns
  • Support and participate in collaboration activities to promote and implement continuous process improvement.

QUALIFICATIONS

  • Prefer Associates or BA/BS in Business or related field. Must have three (1) years of professional business experience, ideally with 1-2 years in accounts payable or similar business functional areas.
  • Advanced experience using computers, with the ability and interest to learn and master new systems.
  • Experience working in an accounting software program preferred. Experience working with SAP desired.
  • Excellent organization and time management skills; ability to develop specific goals for the team and plans to prioritize, organize and accomplish daily work and projects.
  • Highly motivated and self-directed; initiative and a sense of urgency to get things done.
  • Strong verbal and written communication skills; ability to clearly convey messages and ideas, gain understanding; generate interest and hold attention, listens and is open to the ideas of others.
  • Ability to work with a high degree of accuracy and minimal supervision in a fast paced, high volume environment.
  • Excellent customer service and collaboration skills. Ability to interact professionally with all levels of personnel while simultaneously managing a diversified workload and challenging situations efficiently and effectively.
  • Critical thinking and problem solving skills; ability to use logic and reasoning to analyze and identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
