Account Coordinator
Location: Greater Madison Area
We are seeking an Account Coordinator to join a dynamic and growing team in the greater Madison area. This role is perfect for a highly organized professional who thrives in a fast-paced environment and enjoys juggling multiple projects. As an Account Coordinator, you will play a vital role in ensuring projects and related processes run smoothly by managing resources, coordinating activities, and keeping communication channels open.
You'll work closely with internal teams and external stakeholders, acting as the glue that holds projects together. This position offers a unique opportunity to develop your project management skills while making a direct impact on client success and satisfaction.
Key Responsibilities
Project Coordination: Oversee project planning and implementation, including assessing needs, setting goals, and meeting objectives.
Budget & Quoting: Assist in developing project budgets, conducting cost assessments, and preparing price quotations.
Scheduling: Establish project schedules and ensure smooth workflows for print production, purchasing, manufacturing, and shipping, adhering to established Kaizen practices.
File Management: Maintain accurate records, manage Excel spreadsheets, and update project activities in systems like SmartSheet and FileMaker.
Plan Review: Analyze architectural floor plans, elevations, ceiling plans, and material/finish schedules to ensure project accuracy and coordinate necessary revisions.
Client Updates: Serve as the primary liaison for project-related inquiries, providing updates and acting as a point of contact for field teams.
Meetings & Reporting: Attend and coordinate meetings, provide project advice, and prepare reports for internal and external stakeholders.
File & Data Accuracy: Monitor file maintenance, resolve discrepancies, and ensure timely delivery of required materials.
Cross-Team Collaboration: Support Account Managers during vacations and assist in creating packing lists when needed.
What We're Looking For
Education: A bachelor's degree in Business, Marketing, or a related field.
Experience: At least three years of experience in sales, customer service, or project management. A background in graphic production is a plus.
Tech Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with project management software.
Detail-Oriented: Ability to read and interpret floor plans, elevations, and material/finish schedules while ensuring accuracy in all project details.
Communication: Strong written and verbal communication skills, with experience coordinating across teams.
